How to Increase Service Area of a Vendor Based on Performance

🎯 Objective:

To reward high-performing vendors by expanding their service coverage, improving order fulfillment rates in underserved areas.

👤 Responsible Team:

  • Operations Manager

  • Vendor Success Manager

🧾 Performance Criteria (Minimum Eligibility):

Metric

Threshold

✅ Order Completion Rate

90%+ (last 30 days)

✅ SLA Violations

Less than 5 per week

✅ Failure Rate

Under 10%

✅ Average Pickup Time

Within SLA (e.g., <12 hours)

✅ Complaint Rate

Minimal or zero

🪜 Step-by-Step Process:

✅ Step 1: Monthly Vendor Performance Review

  • Go to Admin Panel → Vendors → Performance Dashboard

  • Filter by: Last 30 Days or Last Month

  • Identify vendors with Top Tier Performance

Optional: Export report for audit and cross-check

✅ Step 2: Select Eligible Vendors for Expansion

Shortlist vendors who:

  • Are active regularly

  • Handle high-end or multi-device types

  • Have zero to low complaints

  • Show interest in growth (even without asking)

✅ Step 3: Identify Potential Expansion Areas

  • Go to Admin Panel → Area Mapping → Under-Serviced Areas

  • Cross-match:

    • Pincodes with low vendor coverage

    • Devices serviced by the selected vendor

    • Proximity to vendor’s existing area

✅ Step 4: Add Area to Vendor Profile

  1. Go to: Admin Panel → Vendors → Assign Area

  2. Search for the vendor

  3. Add selected pincodes (1–3 max at first)

  4. Enable only matching device types (to avoid mismatch)

📩 Step 5: Notify Vendor

Use this message:

“Congratulations! Based on your strong performance, we’ve expanded your service area to include [Area Names]. You’ll start receiving leads here immediately. Keep up the great work!”

📝 Step 6: Log the Expansion Internally

Maintain tracker for reference:

🔄 Step 7: Review After 30 Days

  • Monitor vendor performance in the new area

  • If SLA drops or issues rise → remove area

  • If consistent → expand further
