How to Review and Approve Organic & Social Media Content

🎯 Objective:

To ensure that all organic and social media content (captions, creatives, reels, stories) aligns with Cashkr’s brand voice, visual style, campaign goals, and publishing calendar — and is monitored post-publishing for quality and engagement.


🛠 Tools Required:

  • Canva (for creative previews and caption comments)

  • Google Sheets / Notion (Content Calendar)

  • Robin Reach (for scheduling & platform preview)

  • Instagram / Facebook / X / LinkedIn / YouTube / Threads

  • WhatsApp / Slack (internal team communication)


👥 Roles & Responsibilities:

Social Media Executive Drafts posts, captions, and formats based on calendar
Graphic Designer Designs creatives, reels, and thumbnails
Marketing Manager Reviews, approves, and monitors all organic content
 

📅 Frequency:

  • Approvals: Weekly (at least 5–7 days before post date)

  • Monitoring: Daily for first 24–48 hours post-publish

  • Review: Monthly summary shared during marketing review


📋 Step-by-Step Process:


✅ Step 1: Review Upcoming Posts in Calendar

Open the Monthly Content Calendar (Google Sheet or Notion):

  • Check for alignment with:

    • Campaigns

    • Events/festivals

    • Brand themes (Pricing, E-waste, Trust, Speed, Comparison, etc.)

  • Ensure captions and creatives are attached to each post entry

✅ Step 2: Caption Approval (Inside Canva or Doc)

  • Check for:

    • Hook: Strong first line within 125 characters

    • Story/Value: Relates to Cashkr’s USP or services

    • CTA: Clear action ("DM us", "Link in bio", etc.)

    • Platform tone:

      • Casual → Instagram, Facebook, Threads, YouTube

      • Formal → LinkedIn, Twitter (X)

✅ Approve → Leave comment: “Approved ✅”
🛠 Edit → Leave comment with change needed
❌ Reject → Ask for rewrite with reason

✅ Step 3: Creative Approval (Inside Canva)

  • Ensure:

    • Logo placement (top-right)

    • Brand fonts and colors used

    • Minimal and readable text

    • Emotion or offer-based visual relevance

    • Proper platform format (1:1, 4:5, 9:16, etc.)

✅ Approve with comment
🛠 Request revision — max 3 rounds
❌ Reject visuals if off-brand or irrelevant

✅ Step 4: Reel/Video Review

  • Watch the reel end-to-end inside Canva/Instagram

  • Check:

    • Hook in first 3 seconds

    • Transitions and effects

    • Logo and visual consistency

    • CTA text or caption

    • Music (no copyright issues)

⚠️ Ensure Reels are below 20 MB and 10–20 seconds for better reach.

✅ Step 5: Approval Finalization

Once caption + creative are approved:

  • Notify Social Media Executive to schedule via Robin Reach

  • Status in calendar → Updated to “Approved for Scheduling”

  • Tag date, time, and platform in Sheet

✅ Step 6: Post Monitoring (Day-of + Day-After)

Within 48 hours of posting:

  • Review:

    • Likes, Shares, Comments

    • DM volume increase (if CTA used)

    • Save/Share count on Instagram (if visible)

  • Flag if:

    • Post underperforms significantly

    • Post receives negative feedback

Optional: Drop emoji reaction in Slack when posted ✅

✅ Step 7: Monthly Review

  • Collect data from Robin Reach or native platform insights

  • Review:

    • Top 3 performers

    • Lowest performing (with reason)

    • Engagement improvement ideas

  • Include in Monthly Marketing Deck → Shared with CEO


📝 Notes:

  • Never allow posts to go live without final approval

  • All edits must be completed 48 hours before schedule

  • If posts need to be pulled down (mistake or issue), notify immediately in Slack
